How to Plan a Corporate Food Truck Event

Corporate food truck events are the easiest catering format to repeat year over year if you set them up correctly the first time. This guide is the process we walk every corporate client through.

Before you start, have ready:

  • Approximate headcount (employees + any guests)
  • Service date and 2-hour service window
  • Office or venue address
  • Dietary restriction count if known
  • Internal approval / PO process information

Steps

  1. 1

    Get a no-obligation quote first

    Before you start the internal approval workflow, request a quote with your date, headcount, and address. Most reputable food truck caterers turn quotes around within 2 business hours and the quote document is what you will need for internal approvals.

    Confirm parking and access at your office

    Walk outside and look at where a 28-foot truck could safely park. Confirm with your facilities team or building management that food truck operation is permitted. Ask about loading-dock access if applicable.

    Submit for approval and obtain a PO

    Most corporate finance teams need either a PO or a signed contract before service. Ask your caterer for a W-9 and a Certificate of Insurance to attach to the PO request.

    Lock the service window

    For corporate lunches, the standard service window is 11:30 AM–1:30 PM. Tell the caterer your firm start and end times — staffing is sized to throughput.

    Communicate menu to employees in advance

    Send a calendar invite or internal email 1–2 weeks ahead with the menu and any dietary options. This dramatically reduces same-day "what is in this?" questions at the truck.

    Confirm dietary headcount 3 days before

    Update the caterer with the final count of vegetarian, vegan, and gluten-free meals 3 days out. This lets them prep accurate quantities without over-ordering.

    Pay and review invoice promptly

    After the event, the caterer will send a final invoice with any adjustments (gratuity, headcount differences). Paying within terms — and leaving a review — sets you up for priority scheduling on the next event.
